What we collect, and what we don’t.

Short version: we collect what you type into a form, and we watch how people move through the site so we can fix what confuses them. That second part sets two cookies and is new as of August 2026. No advertising, and nothing sold to anyone.

What you give us

One form on this site asks for information, and it is optional.

The contact form asks for your name, your email address, what you are interested in, and your message. It goes to one place: the foundation’s own mailbox at admin@reddy2help.org. The form posts to our own server rather than a third-party service, so no form company receives what a donor or volunteer writes to us. Nothing from it is written to a database.

We run no mailing list. The newsletter is published on LinkedIn and on this site, so there is no address for us to collect, store or lose. If you follow us on LinkedIn, LinkedIn knows that and we do not hold anything about you.

What the server records on its own

The web server keeps a standard log of requests, which includes your IP address. We use it to keep the site up and to stop the contact form being abused, and the form itself uses your IP briefly to limit how often one sender can post. These logs rotate off the machine on the system’s own schedule and are read only when something breaks.

How we watch the site being used

Since August 2026 this site runs Microsoft Clarity. It records how visitors move through the pages: where a pointer goes, what gets clicked, how far down a page people scroll, and which page they go to next. We read it as heatmaps and as replays of individual sessions, and we use it for one thing, which is finding the places where somebody trying to donate or volunteer gives up.

It sets two cookies, _clck and _clsk, which tell Clarity that two page views came from the same browser. Microsoft receives what it collects, and their terms govern it. Clarity does not build an advertising profile of you, and we have no advertising on this site to attach one to.

The contact form is masked. Everything typed into it is redacted in the browser before anything is sent, so a recording shows that somebody filled the form in and never what they wrote. The masking is set on the form itself in this site’s HTML, not only in a Clarity setting, so it holds even if that setting is changed.

If you would rather not be recorded, blocking clarity.ms stops it outright, and most tracker-blocking extensions already do. Nothing on this site stops working without it. We are not going to claim a Do Not Track header switches it off, because Microsoft does not say that it does.

Website assistant

The optional AI chat uses Hermes to answer questions from our public pages. When you send a question, we send it and up to three recent exchanges to our server and OpenAI, the AI provider used by this assistant. Please avoid sharing sensitive personal details. AI answers can be mistaken; contact us for confirmation.

The chat keeps its conversation in your current page’s memory. New chat or reloading clears it. Our chat handler does not save transcripts or log message text, and we mask the chat from Clarity session replay. OpenAI processes these requests under its data policies. Rate limits temporarily use your IP address.

Who else sees anything

The services below help run this site. The optional assistant also uses the AI provider described above.

  • Google serves the typefaces this site is set in, so your browser requests them from Google on every page and Google receives your IP address as a result. Google Workspace also holds the mailbox your contact message arrives in.
  • Microsoft receives the usage data described above through Clarity: pointer movement, clicks, scrolling, pages visited, and the browser and rough location the request came from.
  • Cal.com handles the booking page, and sees only what you enter there, and only if you click through to book a call.

If you follow the newsletter on LinkedIn, that relationship is between you and LinkedIn, under their terms rather than ours.

We do not sell, rent or trade personal information.

How long we keep it

Your message stays in the mailbox until we delete it, the way any email does. Server logs go when they rotate. The assistant’s conversation clears when you reload or start a new chat; AI provider retention follows that provider’s policies.

Getting your data, or getting rid of it

Email admin@reddy2help.org and ask. We will tell you what we hold about you, correct it, or delete it. You do not need to give a reason, and you do not need to be in any particular country to ask.

In practice the only thing we are likely to hold is a message you sent us.

Children

This site is written for adults who want to support the school, and the forms are not aimed at children. We do not knowingly collect anything from a child through this website. Photographs of the students at the Asha school are covered separately, in our safeguarding and image policy.

Changes

If this policy changes, the date below changes with it. A change that affects what we collect or who sees it will be announced in the newsletter rather than quietly edited in.
